Typical use cases for ‘finish yard operation’
Use case | Status of visitors waiting for document handling | Status of visitors with documents available not printed yet | Status of visitors after printing/hand-out at the reception | Status of visitors who have left the site |
---|---|---|---|---|
Document handling NOT in Peripass | Ready for check-out - Onsite | Ready for check-out - Onsite | Departed - Onsite | Departed - Offsite |
Document handling in Peripass | Waiting for documents - Onsite | Ready for check-out - Onsite (1) | In case of printing on yard: Departed - Onsite In case of printing at barrier: Departed - Offsite | Departed - Offsite |
Once a visitor has the status ‘waiting for documents’, no other actions can be taken but to transition to ‘ready for check out' and then to ‘departed’. You cannot transition to ‘checked in’ without first going back to 'waiting dispatch’.
In case of drop off and/or pick up, the assets are already in their final state (drop off remains on the dispatch dashboard and pick up is set to offsite) and need to be reset manually.
Make sure all yard operations are done before using the ‘Finish yard operation’ transition.
(1) this is triggered automatically when the documents are uploaded in Peripass
No document handling in Peripass?
Even if the actual documents are NOT handled in Peripass (uploaded to visitors), the “ready for check-out” status can be used as intermediary status on the dispatch dashboard.
This allows the dispatcher to move these visitors to a waiting parking area and free up the dock for the next visitor if necessary. The status transition can trigger specific messages to instruct the visitors on what to do.
The transport desk employee can then set the visitor to ‘departed’ manually when his paperwork was handled. On this status transition, the PIN code to exit the yard can be activated and sent to the visitor.
Document handling in Peripass!
Documents generated by the WMS, ERP, TMS … are uploaded to the relevant visitor in Peripass.
After finishing their yard operations, the visitor is set to ‘waiting for documents’ to disallow the check out on the kiosk. The dispatcher can re-dispatch the visitor to a ‘parking’ area near the office to free up the dock for the next visitor if necessary.
By uploading documents to the visitor the status changes to ‘ready for check out’. A text message can be sent to the driver on both status changes to tell him how to proceed.
Where is the printer located?
Documents are printed in a designated location on the yard
The PIN code to leave the site is activated after check-out on the kiosk was successful and status is set to ‘departed’. The visitor is set to offsite when passing the barrier.
Documents are printed in a large outdoor kiosk at the check-out barrier
The barrier opens at the end of the check-out and the visitor is set to offsite.
