Advantages & disadvantages of pre-registration

Pre-registration with a (unique) reference has some very convenient advantages:

  • Known information will be linked to the transport / visitor automatically

  • Approve / deny drivers or visitors automatically at the entrance. No open gates/doors or manual approval process required.

Challenges with pre-registration:

  • Starting to use unique references for identifying transports requires a lot of change management of carriers and drivers.

  • Multiple customers have testified that starting slot booking in combination with yard management (to enforce the usage of slot booking) is a recipe for chaos, complaints and increased waiting fees.

  • If you don’t have unique references in place yet, we advise to start with the hybrid approach explained below.

Hybrid approach:

  • Ensure your registration has a fallback mechanism, so that drivers without a reference can still register.

  • After some time, start deprioritizing drivers that don’t register using their reference, to stimulate carriers to pass along the references to their drivers.

    • Always inform drivers properly, so that they can ask their carrier for a reference.

  • Once you notice the amount of drivers not having a reference is below 10% of your daily volume, you can remove the fallback mechanism to limit drivers from registering without a reference.
